System for tracking incidents PDF Print E-mail
"Information system for tracking incidents, injuries, ongoing surveys and repairs of equipment" is built with Web-based technology enabling the inclusion of a large number of clients, while retaining the richness of the user interface of the standard Desktop applications. The main objective is monitoring events, accidents, acts and omissions of any technical machinery and equipment allocated to the territorial principle. The main features of the system include the recording of cases of accidents and failures in the supported facilities reflect the work carried out to remove them and inputs and financial resources.

Registration ongoing review and repairs are carried out in advance, which enables the traceability of their performance in due time.

Reflection of activity both in casualties and damage, and checks on current and planned repairs can be done an unlimited number of stages, so that there is information about each stage of the tasks on them.
The system can serve as a permanent control of inventories, cash and checks for workers of any equipment.

Main modules and system functionality
1. Administration
The Administration module contains functions related to system settings and nomenclature used for configuring the system for different clients. They can be customized according to specific business processes for a client system.

2. Data synchronization
The system works with local offices and headquarters. To achieve uniformity of the database, system provides synchronization of databases between local and central database. Synchronization of data can be set to automatically defined periods of time.

3. Nomenclatures
The nomenclature module enables users to enter data for:
  • Unlimited number of species, types of equipment and their components are separated by categories and subcategories.
  • The company and its structure by: departments and units, according to the hierarchy of each company.
  • Structure and characteristics of sites where they work and the company's facilities are monitored by the system;
  • The company contractors - suppliers and customers and the relationships between them;
  • Persons as employees of the company and the contracting companies.
4. Registration of Activities:
  • accidents;
  • injuries;
  • ongoing inspections;
  • and repairs.
This module allows registration of activities to be carried out in sites and facilities maintained by the company and of assigning specific departments or individuals from the firm to perform work on them.
Functionality of the system allows registration of activities to be divided according to the different categories of facilities, types of activities and types of objects.

5. Work flow

The workflow module is used to estimate the overall operation or stage of its registration activities. It specifies causes of occurred accidents and injury, as well as equipment and components, which was necessary to be repair or replace.

6. Financial Report and report of broken and replaced materials
The report describes the materials spent for specific activities.

7. Reports
System allows different types of reports: by real-time or past periods.
System generates reports with predefined content and scope;

Sample reports:
  • Number of registered accidents, number of current repairs and others;
  • Cost of damage in a particular subject for a specified period of time;
  • Information about upcoming ongoing checks for a specific period and others.
8. Links with other systems and office applications
The system provides connection with other systems on 2 levels:
  • At the level of direct access to data;
  • At the level of documents
8.1 Direct access to data
The system offers the following methods for direct data access:
  • ODBC
  • ADODB
  • JDBC
This access can be used by external applications for direct communication with the system

8.2 Access level documents
Allows recording of all generated reports in the following formats:
  • Microsoft Excel;
  • Adobe PDF;
  • Coma separated value - CSV;
  • Pre-defined XML format.
9. Security
Security module is based on the ACL (access control lists) structure and has the following functionality:
  • Define roles (user groups).
  • Define the functional rights. These definitions describe the functions of the system.
  • Connect each group with the corresponding set of functional rights. This determines which group of what functions the system can perform.
  • Definition of the regional units. Each unit has access to the relevant part of the data. These units are defined as at local office.
  • Define the users and their accession to the group and regional links. This determines the user's access to the functions of the system and the relevant part of the data.
Passwords of users are stored in encrypted form. Access to the system via the Internet is organized through the use of SSL and certificates. This adds additional security to the system for access via username and password.

10. Backup and recovery after emergency
The system includes a backup module that automatically run daily backups of data and applications. These records are maintained on external media - USB drive.
Periodically, the system administrator can record archives on DVD.
Working with the backup module is described in the operating manual of the system.

  • The training materials and documentation of the Bulgarian language.
  • Instructions for use with the system - for each job and the system administrator, during normal operation and in emergency situations (denial of a separate device or a group of technical means), recovery after an emergency.
